How to Configure Meeting Types and Generate Calendar Links for Agents

This guide outlines the steps to create an appointment type and generate a calendar link for scheduling agent appointments through Meera’s Scheduler.

🔗 Accessing the Scheduler

  1. Log in to Meera:
    Go to https://chatbot.meera.ai/ and log in with your credentials.

  2. Navigate to Scheduler:
    On the left-hand menu, click and select “Scheduler.”

  3. Create Appointment Scheduler:
    From the dropdown menu, choose “Create Appointment Scheduler.”

🛠️ Configuration Steps

  1. Select Meeting Type
    Choose the appropriate meeting type from the available options.

    1. 🧍 One-on-One Meeting

      A dedicated meeting is scheduled with a specific agent only.

    2. 🔄 Round Robin Meeting

      A scheduling method that distributes meetings evenly among a group of agents.

    3. 👥 Group Meeting

      A single meeting is booked with multiple agents attending together.

  2. Select Campaign
    Choose the campaign you want to associate with the calendar link.

    ⚠️ Important: Select only the designated scheduler campaign.

  3. Set Meeting Duration
    Choose the meeting length (e.g., 15 min, 30 min, etc.)

  4. Select Agent
    Choose the agent whose calendar link you want to generate.

    📝 Note: If the agent is not listed, they may not have connected their calendar. The agent must integrate their calendar with Meera before proceeding.

  5. Enter Event Title
    Type the event name that will appear in the invite.

  6. Select Meeting Location Type
    Choose one of the following options:

    • Physical Location: A real-world meeting place (e.g., office address).

    • Virtual Location: A video conferencing tool (e.g., Google Meet, Zoom, Microsoft Teams).

    • WarmTransfer: Meeting will be triggered when the lead requests a call.

  7. Optional Descriptions

    • Tick the checkboxes to include predefined items in the event description.

    • Add any custom information you’d like to appear in the meeting details.

  8. Submit
    Click “Submit” to finalize and generate the calendar link.
